Languages & theme
How documents are numbered, which languages your staff can choose between, and the visual identity — colour, logo and default appearance — your store presents in the app and on paper.
Overview
This settings group covers three pages: Numbering, Languages and Theme. Numbering decides how your documents are identified, Languages decides which languages are even available for a staff member to pick from, and Theme is your store's visual identity — accent colour, logo and the appearance new staff land on.
Why it's useful
These are "set once, benefit forever" settings. A sensible numbering scheme means every invoice and purchase order has a clean, sequential, audit-friendly reference from day one. Enabling the right languages means staff who are more comfortable in another language can actually use it. A properly set-up Theme means your brand — not a default placeholder — is what customers see on every receipt and what new hires see from their very first login.
Numbering
Numbering controls the format used to generate document reference numbers — purchase orders, invoices, credit notes and similar documents each get a scheme made of a prefix plus a zero-padded sequential counter, for example PO-000182 or INV-00047. Each document type can have its own prefix and padding width, and the counter advances automatically as new documents are created — you don't assign numbers by hand.
Languages
Languages controls which languages are enabled for staff to choose from in their own user profile — it's the pool of options, not any one person's choice. This is a different setting from the store's single default language, which is set on Store profile and is what a staff member sees until they pick a language of their own. Disabling a language here removes it from that pool; it doesn't change what any individual staff member has already selected.
Theme
Theme is where your store's visual identity actually lives:
| Control | What it does |
|---|---|
| Accent colour | The brand colour picker used for highlights across the app's UI. |
| Logo | Shown on receipts and printed documents, and in the app itself. Upload, Remove or Replace it here. |
| Logo (dark mode) | A separate logo file shown when the app or document is rendered in dark mode, since a logo designed for a light background often doesn't hold up on a dark one. |
| Favicon | The small icon shown in the browser tab for the app. |
| Default appearance | Light / Dark / System — what a new staff member sees before they've set their own light/dark preference. It doesn't override a preference someone has already chosen. |
Tips & best practices
- Settle on a numbering prefix and padding width before your first real invoice or purchase order — changing the format later means two different-looking series in your own history.
- Only enable languages you actually have staff fluent in — an empty, half-translated interface is worse than the default.
- Upload a dark-mode logo variant if your main logo is dark-on-transparent — otherwise it can disappear against a dark background.
- Set Default appearance to match the lighting conditions at your actual counter (many stores run Light by default for a bright storefront).
Notes & warnings
If you remove your store's logo without uploading a replacement, the app and printed documents fall back to the platform's own default branding rather than leaving a blank space — so a store is never left logo-less by accident, though you'll likely want to replace it with your own promptly.
Enabling a language on this page makes it selectable — it does not change what any staff member or the store itself currently displays. To change what staff see before they've chosen, set the store's default language on Store profile instead.
